Privacy Policy

Last updated October 26, 2026

Keep IT Simple, LLC (“KIS”, “we”, “us”) runs KIS Network Manager (the “Service”), a website our clients use to document their computer networks. This policy explains what information the Service keeps, why, who can see it, and the choices you have. It applies to this website only, not to other KIS websites or services.

Information the Service keeps

Your account. Your name, e-mail address, the organization (client) you belong to, and what you're allowed to do in the Service. Your password is never stored; only a one-way scrambled form of it (a “hash”) is kept. For multi-factor authentication (MFA) we keep the key your authenticator app uses and scrambled forms of your recovery codes.

Your organization's network documentation. What you and your colleagues enter or import: hosts and their details, networks, IP addresses, DHCP ranges, switches, ports and VLANs, domains, SSL certificates, purchase and warranty dates, and similar information. If your organization uses KIS network scanners, also the device names, IP addresses and hardware (MAC) addresses they find on your network.

Support requests. What you write when you ask KIS for help, and our replies.

Activity records. A record of changes made in the Service: what was changed, by whom, when, and from which IP address. These records are kept for about one year.

Sign-in security. Failed sign-in attempts (the e-mail address used and the IP address), kept for up to 24 hours to stop password guessing. If you choose “Trust this browser”, a record of that browser (a short description such as the browser and system name, and when it was last used), kept for 30 days.

We don't collect information about you from other sources, and the Service doesn't use your location, contacts or similar device information.

Cookies and browser storage

The Service uses only what it needs to work:

  • KISNMSESSION keeps you signed in. It ends when you sign out, or after a period without activity.
  • KISNMTRUST is set only if you tick “Trust this browser” when signing in. It lets that browser skip the MFA code for 30 days.
  • Your browser's own storage remembers a few display choices, such as how the switch pages are laid out. It never leaves your browser.

There are no advertising, analytics or tracking cookies, and no cookies from other companies. Because of that, there are no cookie preferences to set. The Service doesn't track you across other websites, so it treats every visit the same whether or not your browser sends a “Do Not Track” signal. You can delete these cookies in your browser at any time; you'll simply need to sign in again.

How we use information

  • To provide the Service: showing, storing and exporting your organization's network documentation.
  • To keep it secure: signing you in, MFA, stopping password guessing, and investigating misuse.
  • To support you: answering support requests and sending the e-mails the Service sends, such as account set-up, password reset, sign-in codes and notices about your organization's network.
  • To meet our legal obligations.

We don't use your information for advertising, and we don't build profiles of you.

Who can see it

  • Your organization. People in your organization with access to the Service can see its network documentation. Your organization's administrators can manage user accounts and see activity records.
  • KIS staff who look after the Service or your organization's support, as needed to do that work.
  • Service providers that host the Service or deliver its e-mail for us, only to do that work and under confidentiality obligations.
  • When the law requires it, or to protect the rights, safety or property of our clients, users, KIS or others.
  • If KIS's business is sold or merged, to the new owner, who must keep protecting it as this policy describes.

We do not sell your personal information, and we do not share it for cross-context behavioral advertising (as those terms are used in California law). There is nothing to opt out of. The Service is for businesses and isn't meant for children; we don't knowingly collect, sell or share personal information of anyone under 16.

Your organization's data

The network documentation in the Service belongs to your organization, and we look after it on your organization's behalf under our agreement with it. Requests about that data, for example to export or delete it, should normally come through your organization's administrator. Administrators can export their data from the Service at any time.

How long we keep it

Account and network documentation is kept while your organization uses the Service and is removed when an account or client is deleted, apart from copies in backups, which are overwritten over time. Activity records are kept for about one year, failed sign-in records for up to 24 hours, and trusted browser records for 30 days.

Security

The Service is only available over an encrypted (HTTPS) connection. Passwords and recovery codes are stored only in scrambled form, every account must use MFA, people are signed out after a period without activity, and each organization can only see its own information. No system is completely secure, so please keep your password and authenticator app to yourself and tell us straight away if you think your account has been misused.

Your privacy rights

Depending on where you live, including California, you may have the right to:

  • know what personal information we hold about you and how we use and share it, and get a copy of it;
  • have it corrected or deleted;
  • opt out of its sale or sharing (we don't sell or share it);
  • limit the use of sensitive personal information (we only use it to provide and secure the Service);
  • not be treated differently for using these rights.

To make a request, contact us using the details below, or ask your organization's administrator. We'll confirm who you are before acting on a request, and reply within 45 days. You may have someone else make a request for you if they have your written permission.

Changes to this policy

If we change this policy, we'll update the date at the top of this page. If a change significantly affects how we use your information, we'll also let your organization know.
